If your organization requires participants to attend orientation or training sessions, you can use your account to organize these sessions. If you are adding a Training session to an opportunity, participants applying for that opportunity have to attend the training first to be able to schedule.
- Orientation and training sessions can be used directly by partner organizations for participants of their own opportunities. However, organizations may also use these sessions for students of their own opportunities or as a service to partner organizations.
Create a Training Session
You must first create your orientation or training session on VolunteerEasy. Then, refer to the Create a Basic Opportunity tutorial to learn how to add it as a requirement for your opportunity. VolunterEasy does not distinguish between training and orientation sessions, so follow the steps below for both.
- From the Main Menu, click Opportunities then click Orientations & Trainings.
- At the bottom right corner of the screen, click Add Training.
- Keep the slider at the top of the screen set to Active.
- Enter the name of the training session and its maximum capacity.
- If you want to allow students to cancel their session, set the Allow RSVP... slider to “Yes.”
- This feature is best for orientation sessions for which an exact count is not necessary (e.g., large orientation sessions).
- If the training session will not take place at the address listed, click Edit. Enter a Title and Address (click Can’t find your location? if address fields do not appear), then click Save. Or, if the session will be offered at multiple locations, click Add Location, enter a Title and Address, then click Save.
- Enter Training Details for the session. Include details about what information will be covered and why students must attend.
- Click Save & Next.
- In the “Schedule for” dropdown, select the location to which this schedule applies.
- Select one of the following as the basis of your scheduling:
- One Time: One day event
- Weekly: On a weekly basis
- Monthly: On a monthly basis
- Ongoing: Multiple day event or ongoing dates
- Other: Untraditional schedules occurring on random dates
- Set a date(s) or date range.
- If applicable, select the days of the week and/or days of the month when this schedule will occur.
- Under “Date Exceptions,” enter any dates or date ranges during which this schedule does not apply, then click the add icon.
- To complete this schedule, click Save.
- The “Add/Edit Slot” window will open, allowing you to set a Slot (i.e., start and end time) for this session.
- Enter a Slot Name.
- If applicable, select the Slot Day(s) to which this schedule applies.
- Set the Start and End Times. If students can attend the session based on their own availability, leave Start and End Times blank and activate the Flexible Time
- If you are done, click Save. If you would like to set an additional Slot for this schedule, click Save And Add New and repeat the above process.
- Set a second Slot when you would like to offer the same training session twice in one day, set different Slot times for different days of the week, etc.
- To set an additional schedule, repeat steps 9-15 above.
- To edit a schedule: Click Edit next to the desired schedule. Use the tools on the left of the screen to make desired edits, then click Save.
- To delete a schedule: Click Delete in its dropdown menu, then click OK.
- When done setting schedules, click Save, then click Next.
