To remind volunteers and opportunity owners of an upcoming opportunity for which they are scheduled or hosting, your organization can set up to three reminder notifications. You can also set up automated thank you letters.
Note: Each opportunity can have different notification settings. Opportunity level notification settings precedes Organization Level notifications settings.
Configuration
- From the Main Menu, click Opportunity.
- Under Settings, click Opportunity Notification.
- Under “Reminder Notification,” you can customize notifications designed to remind volunteers and opportunity owners of upcoming opportunities.
- To set when a reminder notification is sent, enter a number in the “Days Before Volunteering Date” box. If you enter a “7”, for example, a notification will be sent 7 days before the date of the opportunity.
- To set who will receive notifications, select Volunteer and/or Opportunity Owner.
- To disable a reminder notification, check NA.
- To set a second reminder notification, repeat the steps above in the additional “Days Before Volunteering Date” box provided.
- To set a reminder notification to be sent on the day an opportunity occurs, complete the “On Volunteering Day” box.
- Under “Automated Thank You Letter Settings,” you can set up automated thank you letters.
- To set when a thank you letter is sent, enter a number in the “Days After Volunteering Date” box.
- Check the Volunteer box.
- To disable thank you letter notifications, check NA.
- To disable all notifications, set the slider at the top of the screen to Disable.
- When done, click Save.
Editing Notification Content
From this page, you can also edit the written content of the notifications sent to volunteers. Changes made during this process will apply to all notifications.
- To edit the content of the opportunity reminder notification, click the Volunteering Day Email link at the top of the screen. A new webpage will open.
- If desired, edit the Sender Email, Sender Name, and Subject fields.
Note: The Sender Email should be one that is associated with your organization. This will enable you to receive all replies. - To inactivate all reminder notifications, uncheck the Active box.
- To add an email address as a recipient of this notification each time it is sent, check the Additional Info box. Enter a Receiver Email and/or CC Address associated with your organization.
Note: This feature is not recommended due to the volume of reminder notifications sent. - To edit the content of the message, make any desired changes in the “Contents” box. If desired, you can use the formatting options available.
Note: Editing text that appears between placeholder brackets “{ }” may invalidate the placeholder. - If you wish, you can add placeholders to the body of the notification. Use placeholders to auto-populate the text with information (e.g., Opportunity Name, Scheduled Date) specific to each recipient or opportunity.
- To add a placeholder to the body of the notification, place your cursor at the location in the contents box where you want the placeholder to be added.
- Select the desired placeholder from the “Placeholder” dropdown menu, then click the add icon.
- Repeat for each additional placeholder.
- When done, click Save.
- To edit the content of the thank you letter notification, click the Automated Thank You Email link at the top of the screen. A new webpage will open. Follow the same steps as above.
