Communications: Sending and Replying to Emails from your account Inbox
- This tutorial will cover how to send emails to volunteers, and reply to their responses within the system.
- Start by clicking on the Inbox menu item in the upper right area of the screen.
- This will take you to the Inbox for your account.
- If you wish to send a new email to a volunteer (Or Organization for VAC accounts), click on the Compose button at the top of the left hand pane.
- This will bring up the New Email screen where you can select whether you wish to send to a Volunteer or Organization contact.
- Start by typing in the name of the contact you wish to send to in the To field.
- As you type, the system will suggest existing contacts from within the system.
- If desired you may also set CC and BCC contacts for the email.
- Once you have set the recipients, indicate the Subject of the email in the respective field.
- If you have previously saved email content as a Template, you may select this content from the Template drop-down.
- If you are not going to be using an existing template for your email, supply the content for the email in the Body field, using the editor provided.
- If you wish to save your content as a template for later, mark the Save As Template option.
- If you wish to access information regarding the recipient, and have the system automatically supply that information into the email you may add placeholders for the data.
- Do this by placing your cursor into the content where you wish the placeholder to be located, select the desired placeholder from the Placeholder drop down, and click that Add(+) button next to the drop down.
- If you wish to stop working on an email, and save it for later, use the Save as Draft button.
- To send your email, click on the Send Button.
- In the inbox tab, in the left had pane you can see all received responses from volunteers to emails you have sent.
- To view a response click on that response in the left hand pane, and it will be displayed in the right pane.
- To reply to a response, select that response in the left hand pane and click on the Reply button at the top of the left pane.
- To review all sent communications, including newsletters, from your inbox, click on the Communication History tab.
- You can also review communications sent to a contact from within their summary screen, in the Communication History section.
