Configure Membership Levels Part IV - Notifications
- On Tab #4: Notifications, you will have the ability to review and specify when notifications will go out to members and admins.
- There are up to 5 notifications you can send regarding renewal:
- Two that can go out before the renewal date
- One that can go out on the day of renewal
- Two that can go out after the renewal date has passed
- Additionally, for auto-renewing memberships, you can additionally send a "success" or "failure" notification as well. Please Note: The ONLY notification you can get that an auto-renewing notification failed is by turning on the Admin notification for membership auto-renewing failure. We highly recommend turning this notification on, even if you don't use any of the others.
- You do not have to send any notifications - you can turn them all off. Or you can send anywhere from 1 to all 5. It's up to you.
- Each notification can go out just to the member, just your system admin, or both. You can mix and match, as well. For example, perhaps you want one reminder to go out to your member one week before renewal, a reminder to be sent just to your system admin the day after renewal has passed (membership has expired), and a final reminder sent to the member with a cc to your system administrator two weeks after expiration.
- To turn on any notification, check the intended recipient(s) (Member or Admin) boxes under that notification. If no boxes are checked, that notification is turned off/not set to send.
- To review/edit the content of the notification that will be sent out (including sender name and email address, subject line, and internal staff CCs), click on the link for that notification.This will open up the email notification template for editing.
- You can also access these notifications from the Main Menu at Main Menu: Membership: Notifications: Membership. You can turn off any notifications by clicking the green status icon on this screen. This will stop a notification from sending for ANY of your membership levels (rather than unchecking the member and admin boxes under every membership level). However, keep in mind if you turn off a notification here, checking the boxes on the configure notifications tab in configure membership level will not re-activate the notification. You still need to come here and turn the notification status back to active for it to start sending. We don't recommend setting notifications to inactive status for this very reason - it's easy to forget that the notification is active, check the box in configure membership level, and think your notifications are going out to members when they aren't because the notification is still inactive.
- Please note: that these notifications are shared across all membership types and a change to the text will be used for all other memberships. That is, you cannot configure different email content for the first email reminder for membership renewal for your Corporate membership level than for your Family membership level. All membership levels use/share the same set of notifications.
- For some notifications you will have the option to indicate the number of days before, or after the membership expires that the email is to be sent.
- For the expired/past due membership emails, you can indicate that the membership will be changed to Lapsed status once the email is sent. Lapsed memberships cannot be renewed. Lapsed, different than expired, is a special category within Fundly CRM in which members who have been expired for a certain period will be forced to buy an entirely new membership. If you do not want to use this function, do NOT check the "changed status to lapsed" check box for these notification. You can still set this notifications to send to the Member and/or Admin without the membership status being changed.
- When you have finished configuring the membership level’s notifications, click on the blue Save & Proceed button in the lower right to move to the next tab or click Save to save a draft and finish later.
