Manage Duplicates: Merge Duplicates Part II - Merge User Identified Duplicates
- If you find two or more records within the system (outside of the Merge Duplicates: Review tab) that are duplicates/that need to be merged together, you can manually merge them together from the Take Action Menu on the search results screen or from the view contact screen.
- To merge duplicates from the search results/take action menu, use quick search or advanced search to find the records and pull them up in the same search results.
- Keep in mind, that you cannot merge individuals and organizations together. Individuals can only be merged into other individuals; organizations can only be merged into organizations.
- In this example, we're searching for everyone with the name Terri Bruce. As you can see from the search results, we have multiple records with the name.
- Select the records you want to merge together by checking the white box to the left of each name.
- From the Apply to Selected Contacts drop down in the lower right hand corner (Take Action Menu), select Merge Contact.
- This will take you to the Merge Duplicates screen. Follow the steps in our Manage Duplicates: Merge Duplicates Part I - Merge System Identified Duplicates tutorial to complete merging the records.
- You can also merge duplicates from Quick Actions in view contact. While viewing the contact record, if you know of duplicate records for this contact, you can click the Quick Actions menu and under the contact headerm select Merge Contact.
- This will bring up a pop up box that will allow you to select which contact records to merge into this one.
- Auto will pull up any records the system has identified as duplicates ("system identified duplicates" identified in the Merge Duplicates Part I tutorial). Click the Auto radio button and then click Merge Contact. This will take you to the merge duplicates screen where you can then select which data to keep. Proceed as directed in Step #7 above.
- Selecting Manual will allow you to select any contacts in your system to merge into this record. Start typing a contact name into the Choose Contact box. A list of contact records that match what you type will appear. Select the name of the contact you want to merge into this one from the list and then click the Add button. You can merge multiple records at once (that is, if you have three duplicates for Jon Derringer, you can merge all of them at the same time; you don't have to pick just two records). Once you have populated the list of records you want to merge, click the Merge Contact button to be taken to the merge duplicates screen. Proceed as directed in Step #7 above.
