Donations: Editing Gifts
- If you need to edit a donation, you can do so in one of several ways:
- From the Gifts Index Screen (Main Menu: Fundraising: Gifts), click on the drop down to the right of the gift and select Edit.
- From View Contact it is the Gifts Widget
- From Main Menu: Financials: Invoices, edit the invoice.
- This is the best method if you change the donation amount as you will also need to edit the payment information and this can only be done from the invoice and not from the Add/Edit Gift screen.
- If this is a recurring donation, you can only edit the frequency, recurring amount, and the next charge date. For more information about managing recurring gift profile, see this tutorial.
- If you need to cancel, void, or refund a donation do NOT edit it. Use the cancel/void function instead. See this tutorial for more information.
- When editing/changing the donation Amount, be sure to edit the Tax Deductible Amount as well. This will not auto update when editing. The Tax Deductible Amount Column will tell you if the TDA is a fixed dollar amount or a percentage and you can use this to manually update. As you can see from the screen shots below, when we selected a different donation amount, the TDA box did not update. We manually typed in the updated/correct amount in third screen shot.
- When editing/changing the donation Amount, be sure to edit the Payment Amount as well.
- If the person paid by credit card, you will not be able to edit the payment amount. You will need to delete the payment, re-enter it as credit card offline and manually trigger a refund in Stripe for the overpayment portion.
- Please Note: You cannot edit the payment information from the Add/Edit Gift screen. You will need to go to Main Menu: Financial: Invoices, view the invoice, and edit the payment information from here. It is probably fastest/easiest to start by editing the gift amount from the Edit Invoice screen, rather than the Add/Edit Gift screen (method #3 in step #1 of this tutorial) in this case.
- When you are done editing the invoice, be sure to click Save to save your changes. When editing payments, click Save Payment.
