Amount, Frequency, and Recency groups are used to segment donors into different groupings based on the amount (lifetime) they have given, how many times (frequency) they have given, and how recently they have given. Once configured, these items can be used to search for donors in Advanced Search and used in reporting.

- This tutorial will cover how to configure amount groups.
- Amount Group represent categories of contacts, grouped together based on the amount of the donations they have made.
- These groups will be used for both reporting and creating direct marketing appeals.
- Please Note: fter configuring recency, frequency, or amount groups or making any updates/changes to any of these groups, contact records will update over night (that is, it is an overnight process to update contact records as to which group(s) they fall into).
- To configure amount groups, start by clicking on Fundraising on the Main Menu to open the fundraising sub-menu and then click on Amount Groups.
- This will take you to the Amount Groups index page.
- Before you create any amount groups, you should decide what amount the groups shall be based on using the “Groups are based on” drop down.
- After you have selected the option you wish to base all amount groups on, click the Update button.
- To create a new amount group, start by providing a unique code and clear description for the group, in the available Code and Description fields.
- Next in the Range Start and Range End fields, specify the amount ranges for the group.
- When you have finished configuring the amount group entry, click on the Add button to the right of the entry.
- To edit an existing amount group, click on the Edit button to the right of the appropriate entry.
- This will make the entry’s fields available for editing, and when you are complete, click on the Save button or Close to cancel without saving.
- To delete an amount group, click on the drop to the right of the Edit button and click on Delete.
- Once you confirm the change, the group will be permanently removed from the system.

- These groups will be used for both reporting and creating direct marketing appeals.
- To configure amount groups, start by clicking on Fundraising on the Main Menu to open the fundraising sub-menu and select Frequency Groups under the Configurations heading.
- This will take you to the Frequency Groups index screen where you will see a list of your currently configured Frequency Groups.
- To create a new frequency group, click on the Add Frequency Group button in the lower right.
- In the resulting screen provide a unique code for this frequency group, and a clear description in the Code and Description fields respectively.
- Next, in the Range Start and Range End fields, specify the range of NUMBER of lifetime donations a donor must have made to be counted in this category.
- When you have finished configuring the frequency group, click on the Save button in the lower right.
- To edit an existing frequency group, click on the Edit button to the right of the appropriate entry, and the configuration screen will be opened again.
- To delete a frequency group, click on the drop-down to the right of the Edit button and click on Delete.

- These groups will be used for both reporting and creating direct marketing appeals.
- To configure recency groups, start by clicking on Fundraising on the main-menu to open the fundraising sub-menu and then click on Recency Groups under the Configurations heading.
- This will take you to the Recency Groups index page where you can see a list of your configured Recency Groups.
- To create a new recency group, click on the Add Recency Group button in the lower right.
- In the resulting screen provide a unique code for this recency group, and a clear description in the Code and Description fields respectively.
- Next, in the Range Start and Range End fields, specify the time range for a contact to be counted in this category (e.g. if you want to lump together people who last donated between 1 and 2 years ago, you would enter 1 in the range start field and 2 in the range end field).
- The Range In drop down will allow you to specify whether the increments are measured in Days, Months or Years.
- The lower the start date, the closer to today the group will be, thus a start of 0 would represent today, and a start of 1 would represent one day, month or year ago.
- If you wanted a recency group to represent the last year, you would set the Start at 0, the end at 1, and the “Range In” at Year.
- If you wanted a group that represented between one and two months ago, measured in days, the start would be 30 and the end would be 60, using the days option.
- When you have finished configuring the recency group, click on the Save button in the lower right.
- To edit an existing recency group, click on the Edit button to the right of the appropriate entry, and the configuration screen will be opened again.
- To delete a recency group, click on the drop to the right of the Edit button and click on Delete.
- Once you confirm the change, the group will be permanently removed from the system.
