Donations: Batch Gift Entry Part I - Creating and Assigning Batches
- This tutorial will cover how to create and assign batches for batch gift entry within the system.
- The batch gift entry process allows you to enter multiple donations from multiple contacts via single process.
- To create a new batch for entry, start by clicking on Fundraising on the Main Menu to open the fundraising sub-menu and then click on Batch Gift Entry under the Fundraising header.
- This will show a list of all currently configured batches.
- To create a new batch, click on the New Batch button in the lower right of the screen.
- On the resulting screen, start by entering a relevant Batch Name and Description in the respective fields.
- By default, all batches start with a number of required fields already included for entry.
- To add Additional Fields to be used for data entry, click on the Available Fields drop-down menu, and select the fields you wish to add by checking the field from the drop down.
- When you have selected the fields you wish to add, click on Apply at the bottom of the drop-down menu.
- To set a field as required during the data entry process, check the Required check-box for that field.
- If you wish to set a default value for a field, so as to reduce work during the entry process, you may indicate this using the Default Value column for most fields.
- If a value will be the same for all instances of a field within a batch, you may mark the “Common for All” check-box for that field.
- When you have finished configuring the fields for a batch, click on Save and you will be taken to the next screen to assign the users who are allowed to complete the entry process.
- If you wish to be the only user to enter values, select the Self button.
- If you wish for other users to be able to complete the data entry process, mark Select User, and from the provided drop-down menu, select those users you desire.
- Once you have selected yourself or other users for data entry, click on the Save button in the lower right of the screen.
- At this point the batches have been assigned to the selected users, and you may return to the list of batches.
- To assign more users to a batch, click on the Assign Users button to the right of that batch.
- To copy a batch, click on the drop-down next to Assign Users and select Copy
