Financials: Invoices: Receive Payment
- This tutorial will cover how to receive payment for invoices and transactions within the system.
- After you have clicked on an appropriate Receive Payment button for a transaction or invoice, you will be taken to the Payments screen for the contact.
- On the right of this screen you will see a list of all outstanding transactions that require payment.
- Start by marking all transactions you wish to receive payment for at this time, or by unmarking those that you do not wish to receive payment for.
- In some cases, this will have been done for you for some or all transactions shown.
- You may also specify how much of each transaction you wish to pay at this time, thus creating partial payments that you can complete later.
- Next, on the left you have the option to pay the transaction using the contacts credit balance if they have one. If you select to use a credit do NOT fill in any other fields on the left side.
- If NOT using a credit to pay for the transaction, fill out the payment details on the left side. Start by selecting the method of payment used by the contact with the Mode of Payment drop down.
- If you have selected a payment mode other than Credit Card, use the Reference No. field to indicate the check number, register receipt or transaction number for this payment as appropriate.
- In the Date of Payment field select the date on which you are processing this payment, or wish for the payment to appear as having been processed in financial records.
- In the Reference Number field, you can put your internal reference number (íf you have ways on how you're tracking payment transaction) or transaction number for credit card transaction, check numbers, etc. that must not exceed 50 characters.
- In the Amount field, specify the total amount that the payment will be for, if that total will be different from the total of transactions selected on the right.
- Lastly, if you have used the Credit Card payment option, and have configured your Payment Gateway Settings, use the remaining field to indicate all necessary credit card and billing address information to process the card.
- When you are done, click on Receive Payment or Receive Payment and Send Receipt in the lower right, and the payment will be processed and recorded against the contact’s record.
