With the release of a new build, users may experience some irregularities in their CRM or Connect account such as the appearance of strange code, blank screens/modules, lack of word wrapping, etc. These issues are related to the need to clear your browser cache and/or to log out and back in to the system in order to get the new updates. If you continue to experience difficulties after clearing your cache and re-logging in, please email us at support@fundly.com.

Changes to Processing Refunds One-step credit card refunds are here!!! Until now, when processing a refund to a credit card, users had to complete two separate steps: 1) record the cancellation & refund in Fundly CRM, and 2) log in to Stripe and trigger the refund/return of money from there. Well, now, you can do it in ONE step! That's right - now, when you refund a credit card transaction (membership/event registration/donation) inside of Fundly CRM, the refund will be triggered inside of Stripe automatically. No need to log into Stripe and manually initiate the return of funds. |

Changes to Cancel/Void/Refund Transactions for Events Users were already able to cancel event registrations and issue either a credit or a refund. We've tweaked event cancellations to add the void function (to zero out a transaction), bring forward/display the payment information that will be refunded/credited, and to show the cancellation note/reason when hovering over the transaction in the Manage Attendees: Registrations list. For event registration cancellations, you still have the option to issue partial refunds/cancellations (indicate the amount you are keeping in the Cancellation Fee field). Refunds for transactions paid by credit card will be issued via the credit card; for transactions paid by other means, you will have the option to specify the refund payment mode. Also the same as void/cancel for memberships and donations, the void/cancel will show on the contact's Financial Details window, on the contact's Ledger, and on the Invoice (credited transactions/credits will show in the new "Unallocated Amount" column on the ledger).. Changes to Cancel/Void/Refund Transactions for Donations Until now, users only had the ability to Void a (non in-kind) donation or to cancel it and issue a credit; refunding a donation was not possible. With this release, that has been changed. Users now have the ability to Void, Refund, or Credit donations. Now, when selecting Void/Cancel donation from the Gifts Index screen, users will be presented with the universal Refund/Void/Credit transaction screen. Similar to how Cancel Membership and Cancel Event Registration now work, the user has the ability to issue a refund or to issue a credit for the transaction, or to zero it out altogether (Void). Refunds and credits, for donations, are 100%; there is no option to add a partial refund/credit. For each option, you will be shown the details of the payment being refunded/credited/voided. Payments made via credit card will be refunded via the credit card/Stripe (automatically/one step). For all other payment modes, you will have the option to enter the details of the how the refund will be paid back to the donor. When viewing the invoice of any cancelled transaction for which a credit has been issued, you'll be able to see that a refund or credit was issued. When viewing the Financial Details, Giving Details, and Ledger of any contact, you will be able to see which transactions have been refunded or credited as well. Changes to Cancel/Void/Refund Transactions for Memberships We have a bunch of changes you're going to love regarding cancelling Memberships! Previously, Memberships could only be voided (and the payments could not be refunded or credited). Furthermore, there was no way to distinguish in the system a membership that had been cancelled versus one that had simply expired (except by adding a note to the Membership Additional Information custom data set). Well, guess what? Now you can cancel memberships (from the Manage Memberships index page for from View Contact)!
This new cancel membership function comes with the ability to issue full or pro-rated partial refunds/credits! Cancelled Memberships will now be shown on their own tab on the Manage Membership screen; this distinguishes them from inactive memberships, which are ones that simply expired and were never renewed (or lapsed memberships with are so expired they can't be renewed). For any membership that is cancelled, you'll see the status on both Manage Memberships and on View Contact.
In addition, we've redesigned the cancel/void screen. Now, when cancelling/voiding any paid transaction (membership, donation, or event registration), you will be provided the option to choose to issue a credit on the contact's account (which can be used for another transaction), issue a full or partial refund, or to simply void (erase the transaction with a paper trail) [note: while you can still delete/erase transactions (the "nuclear" option) by deleting the invoice, using the cancel/void function allows you to keep a paper trail of what happened, and you should use this option for tracking cancelled/voided transactions]. For each option, you will be shown the details of the payment being refunded/credited/voided. When viewing the Ledger of any contact, you will be able to see which transactions have been refunded, voided, or credited. Changes to the Financial Screen To accomodate the changes we've made to the systems for refunds, credits, and voids, we've changed the handling of cancellation fees in the system. Previously, cancellation fees for event registrations (the portion of a cancelled transaction that you kept/the part not refunded or credited) was recorded in the system as a separate item. Cancellation fees were tracked separately/as their own item and could even be assigned their own Account Code. As cancellation fees are not actually a separate item distinct and apart from the event registration transaction from which they stem, we have removed this logic from the system. Now, cancellation fees will just be the money paid for a event registration. Any cancellation fees previously recorded in your system will remain (none of your data will be changed or lost). Going forward, however, you will not see these cancellation fees recorded separately, nor will you have the option to link them to the Chart of Accounts as a separate line item/separate Account Code. We've also redesigned the Financials (Main Menu: Financials: Financials) screen to make it easier to find the information most important to you. We've reduced the number of views/tabs at the top to just two: Paid Transactions and All Transactions. The Paid Transactions tab will show payment details by default with the transaction details hidden in a collapsed row (which can be displayed by clicking the + sign). The All Transaction tab leads with the transaction details (payment details are hidden by default but can be viewed/expanded by clicking the + button). We've further expanded the available information on the Financials screen by adding a "More Information" pop up widow for each transaction that provides further details on each transaction. We've also added a "Payment Type" filter to the Paid Transactions tab to allow searching for refunded transactions. We have a full tutorial on using the Financials screen in the support library. |

Exago/Reporting Upgrade We've upgraded Exago (the third party application we use for reporting) to the latest version - and with that comes a sleeker interface and many enhancements to Express View. The biggest change is the ability to add formulas in Express View. Clicking this box will add a blank column where you can add a formula. You can type in a formula in the formula box (such as "={Financials.Amount Owed} - {Financials.Amount Paid}") or use the functions in the Selected Cell area on the right. Using formulas in Express View will let you use the custom formatting functions such as FormatPhone and GetTags and GetContactTypes that previously were only available in Advanced Reports. We've added details how on how to use formulas in Express View to the Express View Reports tutorial in the support library. The new Exago also comes with a brand new, easier to use interface for building Dashboard Reports. You can learn more about Dashboard reports from the tutorial in the support library. |

Household ID Added to Contact Export This is one of those small changes that has a big impact - we've added the Household ID field to the search results/contact export. Now, when you export your search results to Excel, the Household ID field will be included (as the last column), which will make it possible to sort/group the results by household. |

Contact Phone Number Extension Increased We've increased the phone number extension field for contacts from 4 digits to 5 digits (a small but significant change for those of you who were unable to enter full extensions before). |

View All Contacts We've added an option to View All Contacts to the Main Menu in the Contacts category. |

New Change Log This one is super exciting - we've added a "change log" to the user interface that will track the changes made to a contact record. Previously, this audit function was only available on the back end/to our technical team. We've exposed this tracking system to the user interface, so you can see changes made to contract records (and in real time). Access the new change log from View Contact - it's the new orange button in the upper right hand corner. You can learn more about the Change Log by viewing this tutorial in the support library. |

Ability to Sort Transactional Custom Data Sets This is another one of those small but important changes. Now users have the ability to sort Transactional Custom Data sets by any field they want. When viewing the contact record or when adding data to the custom data set on any contact record, you can choose the sort order using the drop down field. |

Call for Focus Group Attendees Our next major release will be in September. For that release, we are working on some changes to the Address fields in contact records (adding the ability to indicate which addresses are home or work addresses) and some changes to the Advanced Search user interface. We will be holding a beta session to gather feedback on the proposed changes on Wednesday, July 11th and on Thursday July 12th (you only need to attend one).
